Remote Administrative Assistant

We're seeking a remote administrative assistant to join our dynamic team at B’ZEOS.
You'll play a vital role in supporting our mission to create a plastic-free future in the packaging industry by handling a variety of administrative tasks, including travel arrangements, calendar management, timesheet processing, purchase order management, expense tracking, invoicing preparation, project resource management, accounting and financial reporting.
Key Responsibilities
Administrative Tasks:
- Book and manage travel arrangements for team members
- Update and maintain team calendars
- Process timesheets and ensure accurate record-keeping
- Create and process purchase orders
- Track and manage goods shipment and delivery
Financial Tasks:
- Gather, review and organize expense reports
- Record financial operations in accounting software (e.g, Tripletex, Odoo)
- Prepare and submit quarterly reports to fiscal authorities in Spain, Switzerland, Norway, and Portugal in collaboration with accountants and under supervision from SeaFO
R&D Project Management:
- Track and allocate expenses and resources by R&D project
- Recharge costs by R&D project in collaboration with SeaEO / SeaTO
- Prepare associated invoices in collaboration with SeaFO
Qualifications:
Education:
- Bachelor's degree or equivalent.
Experience:
- Proven experience as an Administrative Assistant or similar role, preferably in an accounting or finance environment.
- Experience with remote work and virtual collaboration tools
- Experience with travel booking and expense management software
- Experience with cloud-based accounting systems (e.g. Odoo, Tripletex)
Skills:
- Strong organizational and time management skills
- Attention to detail and accuracy
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google suite
- Excellent verbal and written communication skills
- Strong interpersonal skills and the ability to work independently and as part of a decentralized team
- Fluency in English. Spanish or French is a plus
