Job Description

Responsibilities:

• Manage orders for laboratory and office supplies, including purchasing, tracking, receiving, and invoicing.

• Assist with import and export tasks, ensuring smooth logistics, and overseeing inventory management.

• Assist in the preparation of materials and financial analysis to support strategic decision-making.

• Act as a strategic support for the team, helping track and drive priorities across areas.

• Use and leverage AI tools to create efficient workflows, dashboards, and automated processes that enhance team productivity.

• Help organize and prepare for key activities such as onboarding new employees, internal events, and internal communications.

• Maintain accurate and organized records for various operational tasks.

• Contribute to the creation of presentations and manage social media content to ensure messaging reflects the company’s vision.

• Schedule and organize meetings for senior leadership, including preparing documents and handling logistical arrangements.

• Track and schedule job applications, ensuring a smooth recruitment process.

• Assist in refining hiring processes, including creating candidate scorecards and managing interview pipelines.

• Respond to phone calls, relay messages, and provide support to senior leadership.

• Coordinate logistics for external customer engagements, pilots, and special projects, ensuring agendas and follow-ups are executed.

• Coordinate travel arrangements and itineraries for the team.

• Step in to assist with ad-hoc mission-critical tasks across the company as they arise, no matter how big or small.

Qualifications

Technical / Professional Skills ✔️

• Fluency in both English and Portuguese.

• Excellent attention to detail and organizational skills.

• Strong communication and interpersonal abilities, comfortable interacting with people from diverse backgrounds.

• A proactive, self-motivated attitude with a "get-it-done" mindset.

• Genuine interest in working at a startup, thriving in a fast-paced, dynamic environment, and contributing to a growing company.
