Shape the Face of Cancer Treatment at Luminate Medical

Luminate Medical is on a mission to change the way we experience cancer care. We design and build products which revolutionise the patient experience of cancer treatment by eliminating the side effects of cancer treatment in a comfortable, portable and effective way. We’re currently building our flagship product Lily, a wearable electromechanical medical device to prevent the hair loss caused by chemotherapy, and Lilac, our next-in-portfolio product to prevent peripheral nerve damage in chemotherapy patients.

We are looking for an Office Manager to assist with the day-to-day running of the expanding business. Working closely with the Operations Manager and the Commercial Operations Executive, you will ensure the smooth running of the daily administrative tasks at our HQ in Galway and support the senior leadership team.

You will need to enjoy working in a fast-paced environment, be passionate about working with people, and thrive in taking responsibility for completing assigned tasks on-time to make real world patient impact.

What You Will Do:

  • Office Admin
    • Meet & greet visitors, candidates & suppliers.
    • Diary management & Coordination; Organising and scheduling both internal and external meetings, interviews, staff meetings and events.
    • Coordinate and maintain office common areas including monitoring and maintaining adequate stationary & kitchen supplies.
    • Point of contact for any office queries, issues or requests.
    • Support the coordination of office events.
    • Placing Orders.
    • Organising invoices.
    • Tracking & handling orders & deliveries.

  • Facilities
    • Liaise with external contractors as required for office related issues.
    • Prepare for all new hires e.g. access cards and desk equipment.
    • Liase with IT, cleaning, waste management & building services as required.

Experience Requirements – The Ideal Candidate Must Have:

  • Experience:
    • 1-5 years’ experience working in an administrative roles in a professional office setting.
  • Skills:
    • Fluent in English.
    • Proficient user of Microsoft Office applications (Word, Excel, Outlook. PowerPoint).

Experience Advantages – It Would Be Advantageous to Have:

  • Qualification: Qualification in a related field i.e. events management, office management.
  • Experience: 3-5 years experience as an Office Manager or Executive Assistant.
